The Problem

Users had to navigate across 3 separate platforms to request a direct mail project, leading to an inefficient and time-consuming workflow.

The Solution

One app to consolidate multiple platforms and deliver a consistent, efficient project creation experience.

The Results

Through redesigning the direct mail app, users from the education sector and non-profit organizations can now create direct mail campaigns faster, enhancing donor engagement.

The Process

How Did Users Create
Direct Mails?

To kick off the research, I began by interviewing subject matter experts (SME) to gain insights into how users create direct mail campaigns. This also allowed me to identify key stakeholders involved in the direct mail project creation process and better understand their roles and needs.

What Are the User Pain Points?

After mapping the user journey, I conducted interviews with target users to dive deeper into the specific challenges they face. This also helped me identify potential solutions that users were already considering to address these issues.

What Did Others Offer?

As I analyzed users' needs and pain points, I also conducted competitive product research to understand how existing software solutions are addressing these challenges. This research allowed me to pinpoint areas where EverTrue (Pledgemine) could offer improvements.

The direct mail market is typically divided into two segments: companies like JHL Digital Direct, which specialize in delivering high-quality direct mail and printing services, and those that focus on robust software capabilities, such as Postalytics and Lob.

Opportunity Mapping

Following the research phase, I shared the insights with the product team in a collaborative session with the project manager and engineers. We started with a "How Might We" session, followed by Feature Conceptualization, and ultimately concluded with Opportunity Mapping to define the most promising solutions.

Creating Wireframes

After aligning ideas with the team, I moved into the wireframing stage. In the first round of ideation, I focused on integrating key features from Lytho into EverTrue (Pledgemine), beginning with a reorganization of the platform’s information architecture. During this phase, I concentrated on enhancing the project table and simplifying the mail project form.

How Did Users Interact
with the New Design?

To explore how users engage with the newly integrated interface, I used Maze, an online user testing platform, to run unmoderated usability tests. I asked participants to create a new direct mail project and then gathered feedback on how easy the process was and their overall experience.

Improving Project Table

In the first round of usability testing, most users successfully completed the tasks, but the average Single Ease Question (SEQ) score was 4.9, indicating that while the process was functional, there was room for improvement.

During the usability testing, participants noted that while the redesigned project table includes a sorting feature, they were still looking for a quicker way to locate projects.

Reorganizing Project Form

The long project form still makes users feel anxious, as completing the entire form at once remains tedious and overwhelming. I reorganized the information architecture of the project form. The improved structure simplifies the process, reducing the time and effort required to fill out the form.

Redesigned Project Table

After gathering internal feedback from the project manager, product designer, and engineer using wireframes, I finalized the design deliverables.

The redesigned project table is more organized and includes features such as active/archive tabs, sorting options, and tags. These improvements allow users to quickly find and classify projects by type, making it easier to view project statuses at a glance.

Redesigned Project Form

I integrated the old mail solution PDF into Pledgemine (EverTrue), making it easier for users to read and select solutions. The project images enhance the process by providing users with visual cues to quickly identify options.

Streamlining Project Creation
with a Unified Solution

Through interviews, I gathered key pain points and mapped out the user journey. Collaborating with the project manager and engineers, I brainstormed potential solutions. I then developed wireframes and conducted usability testing to assess user feedback on the new design. Through the ideation process, I overhauled the platforms to consolidate multiple tools into one app, streamlining the workflow and improving efficiency.

If I Had More Time

Exploring AI Integration

Investigating the potential use of AI to enhance the mail creation processes. AI could be utilized for automating repetitive tasks and providing intelligent recommendations, thereby improving efficiency.

Improving the Admin Workflow

The research revealed that admins currently have to manually enter customer mail information into a Google Sheet or Pledgemine admin site, a process that is both tedious and prone to human error.

Building the Mail Builder

In the user research phase, the admin users indicated that an ideal redesign would allow customers to design their own mail directly within the platform, rather than uploading materials and relying on Pledgemine to handle the design.
